Disposal of Computer Equipment (Computer Services)

Service Description

As per College policy 7-2-04: Surplus Computer Equipment Disposal, all College PC equipment must be disposed of by the Computer Services Help Desk. It is against the policy for College employees or departments to sell, give away, donate, redistribute, or dispose of this equipment in any way without proper consent from the Help Desk.  This is done regardless of which College department originally purchased the equipment and so as to ensure all ‘surplus’ computer equipment is always handled/disposed of in a proper fashion according to the requirements of this policy.

Surplus computer equipment is any hardware device that is no longer required by the College due to:

  • Being beyond its useful life
  • Excessive cost of maintenance/repairs
  • Inability to be appropriately upgraded
  • Wear, damage, or deterioration
  • Lack of use
  • Replacement with new equipment

Computer equipment includes computer desktops, laptops, tablets, monitors, printers, scanners or other PC desktop peripherals.

Disposal Practice Summary

  1. When a College employee or department wishes to dispose of surplus computer equipment, they must contact the Help Desk - telephone: 475-6488 (ext. 6488), or by e-mail: [email protected]).
  2. Computer Services Help Desk staff will then assess the equipment and based on this will (in priority order):
    1. Redistribute the PC equipment to another area of the College that needs it.
    2. Sell the PC equipment.
    3. Donate the equipment to a College approved 3rd party organization, or charity.
    4. Dispose of the equipment as e-waste (as per Ontario Electronic Stewardship (OES) guidelines).

Note: for any/all PC equipment that leaves the College (sold, donated, or disposed of as e-waste), the Computer Services Help Desk will ensure that all software/data/etc. is erased of any drives and/or destroy the drive so it can no longer be used or have the software/data recovered.
